That’s why trying to copy-and-paste prompts or rely on rigid frameworks often leads to disappointing results. Instead, I treat ChatGPT like a human assistant, walking it through my goals and inviting it to collaborate.
Let’s break down the process I use:
1. Start with Your Goals
Ask yourself: What am I trying to achieve? For instance, when promoting my podcast, my primary goal is to drive listens.
2. Share Context About Your Audience and Channels
This is where ChatGPT really shines. When we started discussing the promotion for my podcast, I didn’t know which channels I should prioritize. I shared details about my audience, past performance data, and my own bandwidth.
ChatGPT asked clarifying questions:
- Which platforms are delivering consistent results?
- Where is your target audience most engaged?
- How much time can you devote to manual posting vs. automation?
3. Make Strategic Decisions
Together, we determined the best channels to focus on and how to tailor the content for each platform. For example:
- Vertical videos perform well on TikTok and Instagram Reels.
- LinkedIn requires a professional tone, making it ideal for text-based posts and newsletters.
- X (formerly Twitter) works best with short, engaging threads tied to industry conversations.
4. Refine Your Messaging
ChatGPT helped me craft platform-specific messaging to align with my audience’s expectations. For example:
- On LinkedIn, we emphasized thought leadership with professional insights.
- On TikTok, captions for vertical videos were more conversational and engaging.
This strategic phase was critical. Before drafting a single caption or post, I had a clear roadmap for where to focus my energy—and where to let automation take the reins.
From Strategy to Execution: Building a Custom GPT
Once your strategy is in place, the next step is streamlining execution. This is where a Custom GPT comes into play.
A Custom GPT is a personalized AI assistant trained to handle your specific promotional process. It can create posts, captions, emails, and even a checklist of steps to ensure nothing gets overlooked.

Here’s how to build one for your needs:
Step 1: Define Your Goals and Assets
Start by identifying what you’re promoting and the materials you already have. Ask yourself:
- What’s the primary goal? (Awareness? Engagement? Traffic?)
- Who’s your audience, and where are they most active?
- What content formats do you have? (Videos, blog posts, transcripts, etc.)
For example, when promoting my podcast, I know I’ll need vertical video captions, LinkedIn posts, X threads, and email newsletters.
Step 2: Create a Comprehensive Checklist
Outline every step in your promotional plan. For my podcast, here’s what that looks like:
Building this out and sharing it before providing copy and captions and other details for all steps of the process is part of the instructions I gave to ChatGPT. Since it has reviewed the content, it knows who my guest is and will insert their name into the checklist for that week’s episode. It will even review the video snippets I’ve created and make specific recommendations on which or whether I should use them in different posts!
Step 3: Teach the GPT Your Process
Use ChatGPT to:
- Draft posts and captions for each platform.
- Suggest platform-specific recommendations (e.g., whether to use landscape or vertical video).
- Automate repetitive tasks like repurposing transcripts into posts or creating hooks.
Step 4: Refine and Iterate
Review the drafts, tweak CTAs, and personalize where necessary.
